Adapt the Chart of Accounts to Your Needs

Once you import the Chart of Accounts, you’ll have to make some changes to the numbering and to some account titles to complete the transformation.  There may be accounts that cannot be deleted, and you will take special note of these “system” accounts.  Refer to the information in the next section and to the illustrated instructions available in the “Resources” section below.

As you go through the customization process, you will discover that there are certain accounts which cannot be deleted.  Typically, these are accounts that the accounting platform deems integral to any accounting process and/or accounts that are hard-coded into the software.

Based on the organizational structure you have selected, various line items will be required.  Most of these required line items will be in the EQUITY section of the Chart of Accounts.  For instance, if you selected a “Partnership” form of organization, line items pertinent to draws, distributions, and partnership interests will be added to the Equity section.

Other different line items will be added for “Sole Proprietor” and “Corporation” organizational choices.

Generally, the accounting software will not allow you to delete an account with information in it.  Still, you need to exercise judgement and caution when making these changes to existing information.

If you are changing an existing chart of accounts to conform to the NAHB-suggested chart of accounts, you must take care to preserve existing information.
